Using the live bed board

What the bed board shows

The bed board is the current state of every licensed bed in one facility. It is derived from the facility's licensed bed configuration and the most recent valid census, so it always reflects what was last reported rather than an independent count.

Bed statuses

Each bed sits in one of three states, and the three always add up to the licensed bed count.

1. 1Occupied — a resident currently holds the bed
2. 2Available — the bed can accept an admission today
3. 3Blocked — the bed exists but cannot be filled (maintenance, staffing, hold)

Note: Blocked beds are excluded from available capacity in every dashboard and extract. Blocking a bed is not the same as reducing the licensed bed count.

Working the board

Open the facility from the Facilities list, review the board against the physical home, then record the census for the reporting date. If the board does not match the licensed bed count, the bed configuration needs correcting before the census will validate.

Stale figures

A facility that has not reported for the current period is shown as not reported, which is deliberately distinct from a facility that reported zero occupancy. Oversight dashboards flag figures that have gone stale so a missing report is never read as spare capacity.
